PROCUREMENT OFFICER


Description

The Procurement Officer is responsible for all activities related to ordering and receiving parts.


Job Duties/ Responsibilities include, but are not limited to:

  • Ensure processing of daily purchase requests and distribution to meet acceptable service levels;
  • Ensure all released purchase orders are submitted to suppliers and are confirmed following the required turn-around time;
  • Negotiate prices, contracts, and payment terms with suppliers to ensure the best possible offer for the company;
  • Monitor supplier performance and take appropriate actions to ensure timely delivery and quality of goods or services;
  • Evaluate suppliers based on various factors such as quality, reliability, delivery times, and price;
  • Ensure that spare parts are available within short lead times, at the most competitive price and quality;
  • Identify purchasing needs from internal and external customers;
  • Expedite orders placed and communicate with various stakeholders;
  • Research and identify potential suppliers that can provide the required goods or services at competitive prices;
  • Manage customer backorders and escalations;
  • Manage logistic costs in line with budget requirements;
  • Maintain supplier and forwarder database;
  • Organize logistics for import and export of spare parts and components;
  • Assist with the resolution of issues related to deliveries, quality, or pricing;
  • Support the procurement section to proactively resolve any procurement related issue to ensure process adherence;
  • Report discrepancies and submission of claims to supplier;
  • Report purchases and costs for all vendors;
  • Report open orders for Service shop and Counter Sales;
  • Report developments on purchasing, shipping and goods receipts;
  • Validate supplier invoices and initiate payment by the Finance department;
  • Track orders to ensure timely delivery;
  • Screen and update daily purchase orders based on supplier order acknowledgement;

  • Provide stocking recommendations to Inventory Control based on purchase trends and backorder reviews;
  • Ensure data reports are complete and accurate.


Education and/or Experience

  • Bachelor degree in Business Administration with two (2) years’ experience in similar function.
  • Experience in purchasing is preferred.
  • Good comprehension of the languages Dutch and English (verbal and written).
  • Experienced in Microsoft 365 (Words, advanced Excel, PowerPoint, Outlook).
  • Experience with Parts Pro.
  • Experienced in PowerBi and MS Projects
  • Must have knowledge of procurement processes, policies and procedures


Reporting structure

The Procurement Officer reports to the Acting Parts Superintendent.

 

Work Schedule

  • 45 hours per week from Monday to Friday.
  • The base work location is at Surmac Paramaribo and the working hours are from 7:00 – 16:00.
  • Availability for work at various Surmac locations.
