HR ADMINISTRATOR


Description

The HR Administrator is responsible for supporting the Human Resource & Development department in various administrative tasks, ensuring smooth and efficient HR operations. This role involves handling employee records, assisting with recruitment, onboarding and payroll processes, keeping track of HR systems and documents, reporting HR metrics and supporting with HR activities.


Job Duties/ Responsibilities include, but are not limited to:

· Maintain and update employee records in the HR system and ensure data integrity and confidentiality;

· Maintain and update personnel pockets;

· Maintain and update or other relevant HR systems;

· Prepare HR-related documents such as employee statements and medical letters;

· Prepare HR-related documents, such as employment contracts and offer letters;

· Prepare and submit reports on HR Metrics such as time and attendance and absenteeism;

· Keep track of medical inquiries such as enrollments, invoices, medical costs and claims;

· Support with the recruitment process, including job postings, screening resumes, scheduling interviews, and onboarding new hires;

· Support payroll processing by providing accurate employee data for payroll;

· Distribute payroll statements and other relevant HR documents;

· Support with employee communications such as drafting memo’s and articles;

· Handle HR correspondence and communication with employees regarding HR related queries;

· Support with scheduling training sessions and keep track of training and development records;

· Participate in and support with HR activities, events and employee engagement activities;

· Respond to employee inquiries regarding HR policies, procedures, and processes and provide high-quality customer service throughout the organization;

· Participate in department pre-start meetings to provide relevant HR information and gather employee feedback or inquiries;

· Support the HR&D team with other administrative and various on-the-job related tasks.


Education and/or Experience

· Bachelor's degree in Human Resource Management, Business Administration or equivalent education with 1-3 years’ experience in an HR administrative role or similar.

· Knowledge of HR metrics.

· Knowledge of HR policies, procedures and best practices is an advantage.

· Experienced in Microsoft 365 (Word, Excel, PowerPoint, Outlook).

· Experience with HR software or relevant systems.

Reporting structure

The HR Administrator reports to the Human Resource & Development Manager.


Work Schedule

· The base work location is at Surmac Wanica and the working hours are from 7:30 – 16:15.

· Availability for work at various Surmac locations.

· Availability outside standard working hours, if required.
