For our Service Allied Department, we are looking for a:

WORK ORDER CONTROLLER

Description

The Work Order Controller is responsible for administratively processing and controlling all assigned work orders by keeping track of the quoted budget from start to finish and thereby governing the targeted service profitability on work order level.

Job Duties/ Responsibilities include, but are not limited to:

· Create service quotations in the dealer’s ERP system within dealer benchmarked “waiting times”, by actively collaborating with Service department’s planning and execution team(s) and with Parts department’s procurement team(s) to gather the necessary inputs;

· Accurately enter details/information in the dealer’s ERP system when opening service calls to ensure valid back-end data processing (financial ledgers, cost (center) allocation, revenue allocation, SEP metrics etc.);

· Communicate parts needs/requirements and delivery schedules (incl. internal shop logistics) with the Parts department’s parts coordinator, procurers and inventory controllers;

· Accurately enter the field service hours in the dealer’s ERP system within dealer benchmark “processing time”;

· Maintain close relations (preferred suppliers) and communications (expediting) with sub-contractors when required;

· Ensure timely and accurate invoicing of service calls by working closely with the Service department’s planning and execution team(s) to manage the document flow (shop & field service reports, parts returns, job closing confirmations etc.);

· Periodically report service call budget status to the Service department’s planning team to influence service call cost management (overtime allocation, on-track/off-track progress validation etc.);

· Report on the status (weekly) of all assigned service calls to the Work Order Controller Supervisor, Account Managers and the Service Manager and/or Product Support Manager;

· Ensure accurate documentation /filing upon job completion within dealer benchmarked “processing time”.

Education and/or Experience

· Bachelor’s degree in Business Administration or technical degree with a minimum of two (2) years’ experience or equivalent education and experience in similar role preferably within the heavy equipment industry.

· Prior experience in maintaining relationships with external vendors and contractors, including coordinating schedules, and ensuring quality standards.

· Experienced in Microsoft 365 (Word, Excel, PowerPoint, Outlook).

· Experience with MS Project and Power Bi.

· Experience with ERP systems (e.g. NAXT).

Reporting structure

The Work Order Controller reports to Work Order Controller Supervisor.

Work Schedule

· The base work location is at Surmac Paramaribo and the working hours are from 7.00 - 16.00.

· Availability required for work at the various Surmac locations.

· Availability outside standard working hours, if required.

· Availability on Saturdays based on Work Order Controller standby schedule.
